An application record saves you from guessing which documents you sent, missing a correction notice or confusing two roles at the same employer. A simple private spreadsheet or notebook is enough. Keep identity documents and application credentials out of a shared tracker.
Record each vacancy separately
| Field | What to record |
|---|---|
| Employer / role / reference | The exact notice identifier |
| Primary source | Official URL and date checked |
| Deadline | Closing date, time and later changes |
| Submission | Route, date and confirmation number |
| Files sent | CV version and required attachments |
| Next step | Test, interview, official status check or no action |
Preserve proof of submission
A saved draft or uploaded file does not always mean the application has been submitted. Look for the portal’s final confirmation or the acknowledgement specified by the employer. Save a copy or screenshot in your private application folder. For post, keep the dispatch record and check whether receipt by the deadline is required. For an accepted email route, keep the sent message and attachments.
If a portal fails, record the error and time without sharing passwords or private identifiers publicly. Use the recruiting body’s published support contact. A technical problem does not automatically extend a closing date.
Follow up through the stated process
Read how the recruiting body announces tests, shortlists or interview dates. Check the official portal and your registered email, including spam folders. Follow the employer’s instructions about queries; repeatedly sending a CV to unrelated staff can create confusion and will not establish submission.
Record a withdrawal or expiry in your tracker. Do not treat a job-board page remaining online as evidence that recruitment continues.
Prepare evidence-based interview examples
Return to the duties and requirements in the advert. For each major requirement, choose an actual example and practise explaining the situation, your task, the action you took and the result. Describe your own contribution honestly. Be ready to explain dates, qualifications and examples in your application.
Illustrative practice: for an accuracy-focused role, describe a time you found a discrepancy, how you checked it, who you informed and what changed. Avoid inventing a percentage improvement. A clear, modest result with evidence is better than a dramatic unsupported number.
Check interview logistics independently
Verify date, time, venue, contact and requested documents against an official invitation. An interview notice may require originals for inspection; bring only what is specified and keep control of your documents. Check travel and arrival time in advance. Do not infer travel reimbursement: the employer’s notice controls any TA/DA terms.
Review and improve
After a test or interview, note topics that were difficult and examples that need clearer explanations. Keep the record factual. Use the pattern to improve the next application, rather than submitting the same generic CV to every role.
